Setting Up Appointment Links

This guide explains how to set up and manage the Appointment Link feature for your AI phone assistant. When enabled, your assistant can send a direct link via SMS to callers who wish to make an appointment, streamlining the booking process.

What is the Appointment Link Feature?

The Appointment Link feature allows your AI assistant to automatically send a text message containing a URL to your online booking or appointment scheduling page. If a caller expresses interest in making an appointment, and this feature is active, the AI can offer to send them this link directly to their phone.

This helps callers quickly access your scheduling system without needing to manually search for it or have the URL read out to them over the phone.

Setting Up Your Appointment Link

To configure your appointment link:

  1. Navigate to your Business & Agent Profile page in your Hooroo.ai dashboard.
  2. Scroll down to the Appointment Link section.
  3. In the "Appointment Link URL" field, enter the full web address (URL) of your online booking page (e.g., https://yourbusiness.com/book-appointment or https://calendly.com/yourbusiness).
  4. Ensure the "Enable Appointment Link" checkbox is ticked if you want the feature to be active immediately.
  5. Click the Save Appointment Link button.

Your AI assistant will now use this link when the feature is active.

Enabling or Disabling the Appointment Link

You have full control over when this feature is active:

  • To Enable: In the "Appointment Link" section of your profile, ensure the "Enable Appointment Link" checkbox is ticked. Click "Save Appointment Link".
  • To Disable: Untick the "Enable Appointment Link" checkbox. Click "Save Appointment Link". The URL will be saved, but the AI will not offer to send the link to callers.

How It Works on a Call

When a caller indicates they want to make an appointment or booking:

  • If the Appointment Link feature is enabled (and a valid URL is saved), your AI assistant will confirm with the caller if they'd like to receive a text message with the link. Upon confirmation, the AI will trigger the system to send the SMS.
  • If the feature is disabled, or no URL is saved, the AI assistant will follow the standard procedure of offering to take a message and collect the caller's details for a manual follow-up regarding the appointment.

Important Note

Ensure your appointment URL is correct and leads directly to your scheduling page for the best caller experience. The AI will mention that bookings are managed by sending this link and that they simply need to click the link to choose the best time for their appointment.
